How your response is collected, held and used
This notice covers responses to the Emerging Social Cohesion Roadmap consultation, whether made through the survey on this site, in the room at the FECCA conference, or by email.
Who is collecting your response
Just Gold Digital Agency Pty Ltd (ABN 20 630 605 926), the Summit Architect, collects and holds consultation responses on behalf of the three convening partners: SydWest, SSI and SCOA. Just Gold is the custodian of the responses for the purposes of the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
- Your answers to the survey questions.
- Your name, organisation and email address, if you provide them. None of the three is required to submit a response.
- The language you answered in, if you tell us. Responses in languages other than English are translated for the working group.
- A submission reference number and the date and time of your submission.
- Technical information generated when a form is submitted over the internet, such as an IP address, which is recorded by our hosting provider.
Where your response is stored
Responses submitted through the survey are received and stored by the website’s hosting provider, Netlify, Inc., on servers in the United States, and are exported by Just Gold to storage in Australia. Written submissions by email are stored by Just Gold in Australia.
Why we collect it
Responses are used to test and amend the Emerging Social Cohesion Roadmap. Every substantive point is logged in a feedback register and given a documented outcome: adopted, amended, or not adopted, with reasons. The register is the basis of the ‘what we heard, what changed’ report. Your email address is used only to send you that report. Your organisation and the optional stream question are used to understand who has responded and who wishes to contribute to the work that follows.
Who sees it
Responses are reviewed by a working group made up of one representative from each convening partner and the Summit Architect. Individual responses are not published. The ‘what we heard, what changed’ report may quote from responses without attributing them to a person or organisation. If we would like to attribute a quotation to you or your organisation, we will ask you first.
Where it is stored
Survey responses are received and stored through Netlify, the service that hosts this site, whose servers may be located outside Australia. Responses received by email are held in Just Gold’s systems. Access is limited to the working group and to Just Gold staff supporting the consultation.
How long we keep it
Responses are kept for the life of the Roadmap process, including the six-month review of commitments after the final Roadmap is published, and are then deleted or retained only in de-identified form.
Your choices
- You can respond without giving your name, organisation or email address.
- You can ask to see, correct or withdraw your response at any time. Email hello@justgold.net and quote your submission reference number if you have it.
- If you have a concern about how your information has been handled, contact hello@justgold.net. If it is not resolved, you can contact the Office of the Australian Information Commissioner.
